Project Coordinator

The ideal candidate for this role will have an understanding of call centre or contact centre solutions and how they operate. Whilst Anana specialise in Genesys, this is not essential. Documentation skills and task management must be well developed as you will be expected to track multiple projects of varying size and complexity with typically aggressive timelines internally.

Main Responsibilities:

• Manage and maintain internal project trackers project work plans and revise as appropriate to meet changing needs and requirements
• An understanding of Microsoft Project would be advantageous but not essential
• Candidate should be fully proficient in utilizing Microsoft office particularly excel
• Ensures project documents are complete, current, and appropriately stored
• Works closely with programme manager and project managers internally
• Build relationships with developers and designers to track deliverables against projects
• Liaise with customers via email, IM or phone
• Exceptional verbal, written and presentation skills
• Ability to work independently and as part of a team
• Ability to recognise and react to developing situations
• Organising and attending meetings
• Minute taking and distribution
• Creation and management of project management calendar
• Completing any ad-hoc tasks when required

Office Manager/PA

The purpose of this role is to ensure the flawless day to day running of a busy office with elements of office coordination, PA, HR and payroll; therefore having the ability to prioritise your workload is a key skill.

Main Responsibilities:

• PA to the Director which includes diary management, carrying out tasks on their behalf and fielding emails/calls
• Booking and arranging travel, transport and accommodation (including international travel)
• Bookkeeping for all invoices, expenses and reconciling company bank accounts ready for the monthly meeting with the accountant
• Ensuring customer contract renewals are completed, generating quotes for new and existing business, submitting invoices and chasing payment
• Maintaining HR files, preparing contracts of employment, completing new starter inductions, updating company handbook, ensuring return to works and probation reviews are completed and processing monthly payroll
• Coordinate any repairs or general maintenance for the office
• Acting as the first point of correspondence for all switch board calls
• Welcoming customers and stakeholders to the office, taking deliveries and sorting post
• Organising events (e.g. Christmas party, fun days, team socials)
• Ordering stationary, kitchen supplies and corporate merchandise
• Completing any ad-hoc tasks when required
